Which decisions should remain in human hands

Speed up preparation without delegating commitments that still require judgement.

The main idea. Keep a clear approval step whenever an action could commit money, terms, sensitive information or an important relationship. Autonomy should expand only after the process and its exceptions have been tested.

Preparing and executing are not the same

Summarising documents, proposing a response and sending that response are different actions. The first two can be reviewed before they create an external consequence. The third already affects another person. Designing this separation lets you benefit from assistance without delegating everything.

Ask what outcome each action can produce and what a mistake would cost. The aim is not to have someone approve every step, but to place review where it genuinely reduces significant risk.

Define what the approver must check

An empty approval adds a click but little control. The person needs enough context and a specific criterion: price, scope, source, recipient, version or exception. They must be able to correct or stop the action without reconstructing the whole case.

Avoid interfaces that push people to approve by default. Missing data or a contradiction should attract attention clearly. Review must enable a decision, not merely confirm that the system produced something.

Start with limited autonomy

A first version can analyse and prepare. Once the process proves stable, routine actions can be authorised within specific rules. Those rules must specify what is included, what remains outside and when to escalate.

Do not turn a run of correct cases into unlimited authorisation. A new supplier, a different policy or an untested customer type can change the risk. Expansion requires a review of its dependencies.

Control includes being able to stop and recover

Oversight does not end at the approval button. The team must know who can pause the flow, how to review what happened and what to do if an action is interrupted. There must also be a way to preserve or restore a stable version.

Measure corrected actions, exceptions and review time. If the team ends up approving without reading because volume is excessive, the design needs to change. The goal is a governable operation, not the appearance of control.

A simple boundary

The solution can prepare a quote using authorised sources. A person confirms the scope, amounts and deadline before sending it. If an exceptional condition appears, the flow stops until there is a documented decision.

The examples are illustrative. They do not represent an active integration, a client case or a guaranteed result. Application depends on the process, sources and agreed scope.
