Automate quotes without losing commercial judgement

AI prepares context and drafts; price, scope and exceptions are reviewed.

The main idea. Start by gathering requirements, locating references and preparing a traceable draft. Define who approves prices, discounts, deadlines and terms before automating delivery.

Identify the work surrounding the document

The visible quote is only the end of a sequence. Before it, there may be email searches, attachment reviews, rate retrieval, capacity checks and verification of terms. Those tasks often deserve as much attention as the writing.

Reconstruct a recent proposal and note where each important piece of data came from. If someone always has to ask for the same reference, the first improvement may be to make it easy to find and keep it up to date.

Separate data, calculations and explanation

Not every part of a quote should be handled in the same way. Data needs a source. Calculations need verifiable rules. The commercial explanation can be prepared as a draft, subject to the agreed tone and scope.

AI should not guess a quantity, price or critical date. When information is missing, the system can prepare a question or flag a review. Leaving a visible boundary is better than producing a document that only appears complete.

Define the approval point

Before sending, it must be clear who checks the scope, amounts, terms and capacity to deliver what was promised. An exceptional discount or an unusual request should not follow the same route as a routine case.

Approval must refer to a specific version. If a relevant condition changes afterwards, the system must know that it is no longer working from the same approved document.

Measure the complete proposal, not just the text

Compare the time from a sufficiently complete request to a reviewable draft. Include corrections, returns caused by missing data and the time required to reach a valid proposal. Better writing may not be the most important improvement.

The process continues after delivery. Recording the version, owner and next action helps prevent the proposal from being forgotten. Follow-up must take account of client replies and recent manual actions.

A draft with visible boundaries

A client requests a service and sends several documents. The solution organises the requirements, retrieves a current rate and flags a pending condition. The person responsible reviews everything before preparing the version that can be sent.

The examples are illustrative. They do not represent an active integration, a client case or a guaranteed result. Application depends on the process, sources and agreed scope.
